8.2 Asset management systems The City uses TechnologyOne’s Works and Assets to record asset data plus Assetic’s Asset Management Systems (MyData and MyPredictor). MyData is used for valuations based on fair value principles and MyPredictor is used for renewal modelling to determine long-term forecast of capital works programs. Additionally, the City has a number of systems which together improve the effective management of assets. These are: • TechnologyOne Works and Assets – holding the asset register containing inventory, condition and historical data of assets. Also used for managing capital projects, maintenance schedules, work orders and tracking status • TechnologyOne Intramaps GIS – the location of all assets, user access

As a result of this asset management plan, the following changes are proposed for the asset management system: • Closer integration with GIS so that all transport assets can be located easily and accurately • Transition to a work order system for work planning and control • Linking of customer requests with specific assets or asset types.

• TechnologyOne FinanceOne – tracking budgets, accessing financial data and valuation data • TechnologyOne PropertyCi – logging and processing of customer requests • MapInfo and QGIS – developing and editing GIS tables. Responsibilities for operating asset management systems are as follows: • Infrastructure directorate – Works and Assets and Assetic • Corporate information system – GIS • Finance services – FinanceOne. The City plans to implement financial work orders to complement the current ledger structure and provide the necessary detail to measure asset performance over its life. This is also regarded as a way to record the different kinds of maintenance expenditure on each asset, such as planned and reactive maintenance.
